# Salesforce integration: accounts and opportunities

**TL;DR:** Roadmark links a Salesforce Account to its Roadmark customer, and an Opportunity to the quote or lane it covers, so a rep sees the same relationship whether they open the record in Salesforce or in Roadmark. Accounts flow in; an Opportunity can update when the quote it's linked to is won.

## Setting up Salesforce

1. **Connect Salesforce:** An admin authorizes Roadmark with OAuth. Every request runs with the authorizing user's permissions, so that user needs the API Enabled permission and access to Accounts and Opportunities. The admin can review, block or revoke the connection later from Setup.
2. **Link customers to accounts:** Match each Roadmark customer to its Salesforce Account, so the quotes and loads a rep sees in Roadmark line up with the Account they already have open.
3. **Test with a real account:** Link one Account and one Opportunity, and check what shows up on each side before turning it on for the rest.

### Before you start

- A Salesforce org with API access, included in Enterprise, Unlimited and Performance editions, or added to Professional Edition.
- A Salesforce admin who can authorize the connection and manage its OAuth access in Setup.

Take Prairie Foods, the customer whose lanes anchor most of Roadmark's
quoting examples. Its Salesforce [Account](https://developer.salesforce.com/docs/atlas.en-us.object_reference.meta/object_reference/sforce_api_objects_account.htm)
links to its Roadmark customer record, and the Mississauga → Joliet lane
Prairie Foods ships sits under an [Opportunity](https://developer.salesforce.com/docs/atlas.en-us.object_reference.meta/object_reference/sforce_api_objects_opportunity.htm)
a rep already has open. When [Quoting](https://roadmark.ai/quoting) prices a request on that
lane, the draft can link to that Opportunity instead of the two records
drifting apart, one saying the deal's still open, the other showing it
booked and paid. When the quote wins and becomes a load, Roadmark can move
the Opportunity to Closed Won and set its amount from the load, so the
pipeline a sales manager reviews in Salesforce already reflects it.

## What links, and which way it moves

Accounts flow one way: Roadmark reads the Account and uses it to match a
customer, but it doesn't rewrite what a rep has entered about who they are
or how to reach them. Opportunities are the two-way part. Roadmark reads
what's open on an Account so a linked quote points at the right one, and
when that quote is won or lost, it can write the outcome back, closing the
Opportunity and setting its amount rather than leaving a rep to update two
systems by hand. Nothing about a customer's contract, rate or credit terms
moves through Salesforce; those stay Roadmark's own record, the one billing
and quoting price from.

## Connecting it

An admin authorizes Roadmark with OAuth. Salesforce doesn't limit an OAuth
grant to particular objects: every request runs with the profile and
permission sets of the user who authorized it, so that user needs the API
Enabled permission and access to Accounts and Opportunities, and nothing the
connection doesn't need. Roadmark reads and writes only those two objects.
Afterwards an admin can review, block or revoke the connection from Setup.
Salesforce's app model changed in Spring '26: Salesforce
[no longer lets orgs create new connected apps](https://help.salesforce.com/s/articleView?id=005228017&language=en_US&type=1) by default
and steers new integrations to external client apps, while existing
connected apps keep working.
[API access](https://developer.salesforce.com/docs/platform/api-rest/guide/intro-rest-compatible-editions.html)
is on by default in Enterprise, Unlimited and Performance editions; a
Professional Edition org needs it added first. Once it's authorized, an
admin matches each Roadmark customer to its Account, which is the step that
decides which quotes and loads show up where.

## Running beside your CRM

Roadmark's own quoting works without Salesforce: prospects move through
lanes-first stages, from a first conversation with expected volume attached
through to a signed rate. Teams that already run their pipeline in
Salesforce don't have to move it. The two stay in step through the linked
Account and Opportunity instead, so a rep can work from either screen and
see the same numbers.

## Turning it off, and what's recorded

The connection works the same as any other integration on [Security](https://roadmark.ai/security):
every write it makes to an Opportunity is recorded, who or what made it and
when, and the connection itself can be turned off for a person, a team or
the whole company at any time, from Roadmark rather than from Salesforce
Setup. Nothing about the OAuth grant changes how sign-in works either;
your team still signs in with the identity provider you already run.

### What Salesforce data does Roadmark use?

Accounts and Opportunities. Each Roadmark customer links to its Salesforce Account, and a quote or lane can link to an Opportunity, so the relationship looks the same in both places.

### Does it sync both ways?

Accounts flow one way, from Salesforce into the customer record. Opportunities sync both ways: Roadmark reads what's open, and when a linked quote is won, it can update that Opportunity's stage and amount instead of a rep re-entering the outcome.

### Do Opportunities update when a load is won?

Yes, for one linked to a quote. When the quote is won and becomes a load, Roadmark can move the linked Opportunity to Closed Won with the load's value.

### Do we have to move our pipeline out of Salesforce?

No. Roadmark can run beside Salesforce. New prospects can stay in Salesforce, or be tracked in Roadmark's own lanes-first pipeline, with Accounts and Opportunities linked either way.

### What does a Salesforce admin have to grant?

OAuth access, authorized by a user with the API Enabled permission and access to Accounts and Opportunities. Salesforce applies that user's profile and permission sets to every request, so the connection never reaches more than that user can see, and Roadmark reads and writes only Accounts and Opportunities.
