AI controls, approvals and audit for freight

You decide what the agents may do, lane by lane.

Every agent starts at Draft. Your team raises it to acting on its own only where it's been earned, for one lane or one customer at a time, with limits you set and can change.

Every new lane and every new customer starts at Draft or Always a person until someone sets it otherwise. Nothing reaches this table without a track record behind it.

Every action is on the record, whoever took it.

Limits and holds

Agents stop exactly where you've told them to.

A dollar limit, a hold or a compliance block reaches every agent the same way it reaches a person. There's no separate rule for automation to work around.

  • Dollar limitsQuoting hands a request to a person once it's over the limit set for that lane: $4,500.00 on Prairie Foods' Mississauga to Joliet lane, so a $4,980.00 quote waits for approval.
  • Customers on credit holdKeel Building Supply is on hold at $18,400.00 past terms. No agent quotes, dispatches or invoices it until Finance releases the hold.
  • Carriers blocked by complianceBrightwater Carriers is blocked after its cargo insurance lapsed on Sep 24. Planning can't tender to it until Compliance clears the block.

The one switch

Every agent, off in one place.

One switch in Roadmark stops every agent at once, for the whole company. Nobody's work is lost, and nobody has to wait for it to come back.

Pause all agents

Drafts
Stop appearing. No agent proposes anything new until it's back on.
Queues
Stay exactly where they are. Nothing already drafted disappears.
People
Keep working. Every screen, quote and load still works by hand.

Every screen still works without an agent.

If a model provider is down, or your team pauses the agents, the queue people work from doesn't disappear. It just loses the parts an agent would have prepared.

Questions

What teams ask before turning agents on.

How do we control what each agent can do?

Autonomy is set per agent, for each lane or customer: Suggest, Draft, Act with approval, Act within your rules, or Always a person. Every new lane and customer starts at Draft or Always a person until someone on your team sets it otherwise.

Can we set dollar limits on what an agent quotes?

Yes. Quoting hands a request to a person once it's over the limit set for that lane. With a $4,500.00 limit, a $4,980.00 quote waits for approval.

Do agents respect credit holds and compliance blocks?

Yes. A hold reaches every agent the same way it reaches a person: no agent quotes, dispatches or invoices a customer on credit hold, and Planning can't tender to a carrier blocked by compliance until the block is cleared.

Is there an audit trail of what the AI did?

Yes. Every action on a load is on the record with the time and what changed, whoever took it: a person, an agent, an AI assistant or an integration, each shown by name.

Can we switch all the agents off at once?

Yes. One switch pauses every agent for the whole company. Drafts stop appearing, queues stay exactly where they are, and people keep working by hand.

What happens to our work queue if a model provider goes down?

The queue stays, without the parts an agent would have prepared. A quote is priced from the lane history by hand, a load is covered by calling a carrier, and detention hours are entered directly.

The same control extends to who can see what.

Every company in the group has its own data. An agent or an AI assistant sees only what the person it's working for can see.
