The short version

Who we are and what this covers
This website is operated by Roadmark (“we”, “us”). This policy explains how we handle personal information collected through the website: the pages you visit, the forms you send, and emails you write to the addresses listed on it.
It doesn't cover the Roadmark product, the TMS your company subscribes to. Data in the product is handled under your company's agreement with us, and your company decides how its data is used. The Security page explains how that data is protected.
What we collect
When you request a demo or contact us through a form
Your work email address, which is required, and anything else the form asks that you choose to fill in: your company's name, the kind of freight business you run, the systems you use today, rough volumes or fleet size, and a message.
With it, we record the page you sent the form from, the time we received it, and the first-touch details described below, if your browser kept them.
First-touch attribution
When you arrive, the website notes where your visit came from: a channel (for example an AI assistant, a search engine, social media or a campaign), the referring website, the page you landed on, any utm_ campaign parameters in the link, and the time. This stays in your browser's session storage and is deleted when you close the tab. It reaches us only if you send a demo request, where it's attached to the request, or click a sign-up link, where it's added to the link so the Roadmark app can record how you found us.
Analytics, without cookies
We use Plausible Analytics, a privacy-focused analytics service, to count visits. It sets no cookies and doesn't follow you across websites. It receives the page address, the referring website, your browser, operating system and device type, and a country derived from your IP address, and it records events for clicks on sign-up links, calculator links copied and demo requests sent (with the answer to "How did you hear about Roadmark?" if you chose one, never what you typed). To count unique visitors it uses a hash of your IP address and browser that changes every day; it doesn't store your IP address, and we see only totals.
Your country and region, for a language suggestion
To suggest a language, the website reads your browser’s preferred languages and may request your country and province or region from our server. Our hosting provider derives these from your IP address; the response contains only country and region codes, which we do not store on the server. Your browser keeps them until you close the tab. Your preferred supported language takes priority; French is the fallback in Quebec, and English is the default elsewhere.
Server and security logs
Like any website, our servers and hosting provider record technical details of each request: IP address, time, the address requested, the referring page, your browser's user agent and the response. We use them to keep the website running, secure it and fix problems.
Emails you send us
If you write to one of our addresses, such as hello@roadmark.ai or hello@roadmark.ai, we receive your email address, your name if you include it, and what you write.
What we don't collect
There are no accounts or payments on this website, no advertising pixels and no cross-site tracking. Please don't send sensitive information, such as health or financial details or government identifiers, in a form or an email; we don't need it.
How we use it
- To reply to your request, arrange a demo and follow up about it.
- To understand, in aggregate, which pages are useful and how people find the website, including through AI assistants and search engines.
- To keep the website and its forms secure and working, and to stop spam and abuse.
- To meet legal obligations, and to establish or defend legal claims.
We don't sell personal information, and we don't share it for cross-context behavioral advertising, as those terms are used in US state privacy laws. We don't make decisions about you based solely on automated processing.
Who we share it with
We share personal information only with service providers that process it for us under contract, and only as much as each needs:
- our website hosting and content delivery provider, which serves every page and keeps the logs described above;
- our CRM and processing providers, which receive demo requests from the website and help us manage and reply to them;
- Plausible Analytics, which receives the page-view details described above;
- our email provider, for the messages we exchange with you.
We may also disclose information when the law requires it; to protect the rights, property or safety of Roadmark, our users or others; or as part of a merger, acquisition or sale of assets, in which case this policy continues to apply to it. Otherwise, we share it only with your consent.

Where your information is processed
We and our service providers may process and store your information in the United States, Canada and other countries where they operate. Information held in another country is subject to that country's laws and may be accessible to its courts, law enforcement and national security authorities. Where the law requires it, we use contractual safeguards for these transfers.
How long we keep it
- Demo requests and emails: as long as we need them to reply and for any business relationship that follows, then deleted or anonymized. If you don't become a customer, that's no later than 24 months after our last contact with you.
- Server and security logs: up to 30 days, unless we need them longer to investigate a security incident.
- Analytics: only aggregate counts, which contain no personal information.
- First-touch details and country and region codes in your browser: until you close the tab. You can clear them at any time; the Cookies page explains how.
Your rights and choices
Depending on where you live, you may have the right to ask what personal information we hold about you and how we use it, to get a copy, to correct it, to delete it, and to withdraw consent you've given. We won't treat you differently for using these rights.
In Canada
The Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, provincial privacy laws give you the right to access and correct your personal information and to withdraw consent, subject to legal and contractual limits. If you're not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada or to your provincial privacy regulator.
In the United States
Residents of states with comprehensive privacy laws, such as California, Colorado, Connecticut, Virginia and others, may have rights to know about, access, correct and delete their personal information, and to opt out of its sale, its sharing for targeted advertising and certain profiling. We don't sell or share personal information in those ways. If we decline a request, you may appeal by replying to our answer; if we deny the appeal, you can contact your state attorney general.
If you are in the EU or UK
This website is aimed at businesses in North America, but if the GDPR or the UK GDPR applies to you: we rely on our legitimate interests to reply to business enquiries, run aggregate analytics and keep the website secure; on taking steps you ask for before a contract when you request a demo; and on legal obligations where they apply. You also have the right to restrict or object to processing and to data portability, and to complain to your data protection authority.
How to make a request
Email hello@roadmark.ai. We'll confirm your request, may ask for information to verify your identity, and will answer within the time the applicable law allows. Where the law permits, an authorized agent may make a request for you with proof of your authorization.
Choices in your browser
You can clear or block site storage, or block the analytics script with a content blocker, and the website keeps working. The Cookies page lists exactly what it stores.
How we protect it
The website is served only over HTTPS, and access to demo requests is limited to the people and providers who need it. No method of transmission or storage is completely secure, so we can't guarantee absolute security. To report a vulnerability, email hello@roadmark.ai.
Children
This website is for businesses. It isn't directed at children, and we don't knowingly collect personal information from anyone under 16. If you believe a child has sent us information, contact us and we'll delete it.
Changes to this policy
We'll update this policy when our practices change, and change the “Last updated” date at the top. If a change is significant, we'll also say so on the website before it takes effect.
